We process personal data in specific situations and for specific purposes. The following personal data are processed by our organization.
We process the following personal data:

i. Date of your initiation ceremony;
j. Bank account number;
k. Data about your donation;
l. Stories or testimonies you share with us, for example about your experiences;
m. Vehicle information;
n. Travel information.
We process the following special categories of personal data:
a. Passport and visa (which may contain your BSN);
b. Information about your religious beliefs or religion;
c. Data about your health and well-being;
d. Data about your background, including about your family and ancestors;
e. Portrait photos (from which special categories of personal data can be derived).
How do we get your personal data?
We have obtained the abovementioned personal data from you directly, or obtained it from public registers, such as the trade register of the Chamber of Commerce or other open sources.
3. Purposes
We process personal data for the following purposes
We only process your personal data when we are allowed to do so and for the purposes described below.
Practitioner
When you decide to become a practitioner, we ask you to fill in a form. In addition, we ask your name and address, phone number, gender, profession, date of birth, e-mail address and nationality. We need this information to contact you, to identify you as a practitioner, to learn more about your background (so that we can guide you better) and to inform you about our activities.
Once you are a practitioner, we will save your level and the date of your initiation ceremony. We also would appreciate it if you share your experiences as a practitioner. When you choose to share your story, we will process your story and any recordings of it.
As a non-profit foundation that works in the philosophical and religious field, we process special data from our practitioners. For example, we conduct interviews with you, possibly discussing information about your family background, health or religious convictions or religion. We use this information to help you on your spiritual path. We have taken appropriate safeguards. In addition, the special personal data we process on this basis will not be provided outside our foundation without your consent.
To always give you the opportunity to return to us, keep your data as long as our organization is active, in order to keep an overview of our practitioners and their activities. This helps us to help you in the future and to protect our organization against any negative actions.
(Portrait) photos
During our activities, photos may be taken, in which your image may be recognizable. There is a legitimate interest in processing your portrait photo, namely an artistic interest of the photographer and an interest to use these photos for our foundation, including for promotion of new activities. We have balanced your privacy interest against our interests. In addition, most cases involve processing of data that you yourself have made public.
Protection Altar
If you would like to install a protective altar on your vehicle, we will ask you for information about your vehicle (model, maker and license plate number). We process this information to recognize your vehicle and install the altar. This information is kept during the time you have in the altar and up to 7 years thereafter.
Travels
We offer the opportunity to visit the sanctuary (Su-za, World Main Shrine) of our main organization in Japan. If you would like to make this trip, we request a copy of your passport to help you gain access to Japan and plan your trip. We will delete this information once you have returned from your trip to Japan.
Donation
We are very happy with your donation! When you donate, we process the information about your donation and any account number, so that we have proof of your donation and the transaction. We keep this payment data for 8 years, in order to be able to justify our donations to the tax authorities.
Directors and employees
At the moment someone enters our foundation or takes office as a director, we need personal data that are necessary to conclude an employment contract or to register the director at the Chamber of Commerce and, if applicable, for a registration with the IND. In addition, we as an employer are legally obliged to include data from our employees in our records.
The special personal data that we process, including BSN and a copy of the passport, we process because they are necessary for the implementation of obligations and the exercise of labor law, as regulated in national legislation. This information is retained during the employment or the period that you are a director.
After the end of the employment or administrative period, data from the payroll administration that are of tax importance will be kept for another 7 years. Payroll tax statements and a copy of the identity card are kept for another 5 years. There are no statutory retention periods for some data from the personnel file. A retention period of 2 years applies to this data after an employment has ended.
4. Transfer
Recipients of personal data
We share your data with the following parties, including our processors:
• External e-mail solution;
• Server administrator;
• External cloud storage;
• Accountant and accounting software;
• Delivery services;
• Communication services, for messages, telephony or video calling;
• Payment services.
We have signed a processor agreement with our processors. We have obliged the processors engaged by us to respect the confidentiality of your data.
Share with our parent organization

Transfer third countries
We try to process personal data as much as possible within the EEA, but sometimes we can not escape using services from outside the EEA. These organizations are located in an adequate country designated by the European Commission.

2.Persoonsgegevens
Wij verwerken persoonsgegevens verwerken wij in specifieke situaties, voor specifieke doeleinden. De volgende persoonsgegevens worden door onze organisatie verwerkt.
Deze persoonsgegevens verwerken we:

b. Geboortedatum;

g. Nationaliteit;
h. Niveau van beoefening;
i. Datum van je inwijdingsceremonie;
j. Rekeningnummer;
k. Gegevens over je donatie;
l. Verhalen of getuigenissen die je zelf aan ons vertelt, bijvoorbeeld over jouw ervaringen;
m. Voertuiginformatie;
n. Reisinformatie.
Deze bijzondere persoonsgegevens verwerken we:
a. Paspoort en visa (met daarop je BSN);
b. Gegevens over je geloofsovertuiging of religie;
c. Gegevens over jouw gezondheid en welzijn;
d. Gegevens over je achtergrond, waaronder over jouw familie en voorouders;
e. Portretfoto’s (waaruit bijzondere gegevens afgeleid kunnen worden).
Hoe komen we aan jouw persoonsgegevens?
We hebben bovenstaande persoonsgegevens van jouzelf verkregen of in openbare registers, zoals het handelsregister van de KvK of andere open bronnen verkregen.
3.Doeleinden
Om deze redenen verwerken we de persoonsgegevens
We verwerken je persoonsgegevens alleen wanneer we dat van de wet mogen en voor de doeleinden die we hieronder hebben beschreven.
Beoefenaar
Wanneer jij besluit een beoefenaar te worden, vragen wij je een formulier in te vullen. Daarbij vragen wij je NAW-gegevens, telefoonnummer, geslacht, beroep, geboortedatum, e-mailadres en nationaliteit. Deze gegevens hebben wij nodig om contact met je op te nemen, om je als beoefenaar te kunnen identificeren, om meer over jouw achtergrond te leren (zodat we je beter kunnen begeleiden) en om jou te informeren over onze activiteiten.
Wanneer jij eenmaal beoefenaar bent, bewaren wij je niveau en de datum van je inwijdingsceremonie. Wij hebben daarnaast graag dat jij je ervaringen als beoefenaar deelt. Wanneer je ervoor kiest om jouw verhaal te delen zullen wij jouw verhaal en de eventuele opnamen daarvan verwerken.
Als stichting zonder winstoogmerk die levensbeschouwelijk en godsdienstig gebied werkzaam is, verwerken wij bijzondere gegevens van onze beoefenaars. Wij voeren bijvoorbeeld gesprekken met je, waarbij eventueel informatie over je familieachtergrond, gezondheid of geloofsovertuiging of religie wordt besproken. Deze informatie gebruiken wij om jou te helpen op jouw spirituele weg. Wij hebben hierbij passende waarborgen genomen. Daarnaast zullen de bijzondere persoonsgegevens die wij op deze basis verwerken niet zonder jouw toestemming buiten onze stichting worden verstrekt.
Om jou altijd de mogelijkheid te geven om bij ons terug te keren, bewaren jouw gegevens zolang onze organisatie actief is, om zo een overzicht te houden van onze beoefenaars en hun activiteiten. Dit helpt ons om jou ook in de toekomst te helpen en onze organisatie te beschermen tegen eventuele negatieve acties.
(Portret)foto’s
Tijdens onze activiteiten kunnen bovendien foto’s gemaakt worden, waarop jij herkenbaar in beeld bent. Er is daarbij een gerechtvaardigd belang om jouw portretfoto te verwerken, namelijk een artistiek belang van de fotograaf en een belang om deze foto’s in te zetten voor onze stichting, waaronder ter promotie van nieuwe activiteiten. Wij hebben daarbij een afweging gemaakt tussen jouw privacybelang en onze belangen. Daarnaast is er in de meeste gevallen sprake van verwerking van gegevens die jij zelf openbaar hebt gemaakt.
Protection Altar
Wanneer jij graag een beschermingsaltaar op jouw voertuig wil aanbrengen, vragen wij je om informatie over jouw voertuig (model, maker en kentekennummer). Deze gegevens verwerken wij om jouw voertuig te herkennen en het altaar te installeren. Deze gegevens worden bewaard gedurende de tijd dat jij in het altaar hebt en tot 7 jaar daarna.
Reizen
We bieden de mogelijkheid om het heiligdom van onze hoofdorganisatie te bezoeken in Japan. Wanneer je graag deze reis wil maken, vragen wij een kopie van je paspoort, om jou te helpen met het krijgen van toegang tot Japan en het plannen van je reis. Deze gegevens verwijderen wij weer wanneer jij teruggekeerd bent van je reis naar Japan.
Donatie
Wij zijn ontzettend blij met jouw donatie! Wanneer je een donatie doet, verwerken wij de informatie over je donatie en eventueel rekeningnummer, zodat we bewijs hebben van je donatie en de transactie. Deze betaalgegevens bewaren wij 8 jaar, om onze donaties te kunnen verantwoorden aan de Belastingdienst.
Bestuurders en medewerkers
Op moment dat iemand bij ons in dienst treedt of als bestuurder aantreedt, hebben wij persoonsgegevens nodig die noodzakelijk zijn om een arbeidsovereenkomst te kunnen sluiten of de bestuurder in te schrijven bij de KvK en eventueel voor een registratie bij het IND. Daarnaast zijn wij als werkgever wettelijk verplicht om gegevens van onze werknemers op te nemen in onze administratie.
De bijzondere persoonsgegevens die wij verwerken, waaronder BSN en een kopie van het paspoort verwerken wij omdat deze noodzakelijk zijn voor de uitvoering van verplichtingen en het uitoefenen van arbeidsrecht, zoals geregeld in nationale wetgeving. Deze gegevens blijven bewaard gedurende het dienstverband of de periode dat jij bestuurder bent.
Na afloop van het dienstverband of bestuursperiode worden gegevens uit de salarisadministratie die fiscaal van belang zijn, nog 7 jaar bewaard. Loonbelastingverklaringen en een kopie van het identiteitsbewijs bewaren wij nog 5 jaar. Voor sommige gegevens uit het personeelsdossier bestaan geen wettelijke bewaartermijnen. Voor die gegevens geldt over het algemeen een bewaartermijn van 2 jaar nadat een dienstverband is beëindigd.
4.Doorgifte
Ontvangers van persoonsgegevens
We delen jouw gegevens met de volgende partijen, waaronder onze verwerkers:
• Externe e-mailoplossing;
• Serverbeheerder;
• Externe cloud-opslag;
• Boekhouder en boekhoudsoftware;
• Bezorgdiensten;
• Communicatiediensten, voor berichten, telefonie of videobellen;
• Betaaldiensten.
Met onze verwerkers hebben wij een verwerkersovereenkomst gesloten. Wij hebben de door ons ingeschakelde verwerkers verplicht om de vertrouwelijkheid van jouw gegevens te respecteren.
Delen met onze moederorganisatie

Doorgifte derde landen
Wij proberen persoonsgegevens zo veel mogelijk binnen de EER te verwerken, maar soms ontkomen we er niet aan ook diensten van buiten de EER in te zetten. Deze organisaties zijn gevestigd in een door de Europese Commissie aangewezen adequaat land.
Als ze niet in een adequaat land zijn gevestigd, zijn er passende waarborgen getroffen of bindende bedrijfsvoorschriften vastgesteld. Meestal hebben we gebruik gemaakt van de EU model clauses. Hiervan kun je een kopie opvragen door ons een e-mail te sturen.

Inzage, rectificatie en wissing
Je hebt het recht om te weten welke persoonsgegevens we van je verwerken en je mag vervolgens verzoeken deze te laten rectificeren of te wissen.
Beperking van de verwerking
Je hebt het recht ons te verzoeken de verwerking van jouw persoonsgegevens te beperken, bijvoorbeeld, wanneer de gegevens niet meer juist zijn, de verwerking onrechtmatig is, we jouw persoonsgegevens niet meer nodig hebben of in afwachting van een beslissing op het bezwaar dat je gemaakt hebt tegen de verwerking.
Recht op bezwaar
Je hebt het recht om bezwaar te maken tegen de verwerking van jouw persoonsgegevens. Maak je bezwaar tegen het gebruik van persoonsgegevens ten behoeve van direct marketing, dan zullen we jouw persoonsgegevens daar niet meer voor inzetten.
Gegevensoverdraagbaarheid
Je hebt het recht jouw persoonsgegevens van ons in een gestructureerde, gangbare en machinaal leesbare vorm te ontvangen, zodat je deze aan een andere partij kunt overdragen, wanneer je ons toestemming had gegeven om jouw gegevens te verwerken en wanneer de verwerking geautomatiseerd is gedaan.
Toestemming intrekken
Hebben we je gegevens voor een bepaald doel verkregen op basis van jouw toestemming, dan mag je deze toestemming te allen tijde intrekken. Het intrekken van de toestemming doet geen afbreuk aan de rechtmatigheid van de verwerking vóór de intrekking.
Klachten
Heb je klachten over hoe wij met jouw persoonsgegevens omgaan? Je hebt het recht je klachten in te dienen bij de Autoriteit Persoonsgegevens.
6.Beveiliging persoonsgegevens
Wij hebben passende organisatorische en technische maatregelen genomen om persoonsgegevens te beveiligen tegen verlies of andere vormen van onrechtmatige verwerkingen. Deze maatregelen zorgen voor een beveiligingsniveau dat past bij de gegevens die wij verwerken.
